Facility Hire User Guide and FAQs

Thank you for booking our facilities for your next event or activity. This page provides details on how to access and use our facilities and outlines your key responsibilities as a hirer.

How do I access the hall and field?

All access and lockup instructions are provided to hirers prior to their booking time on a confidential basis.  Keys and codes must be kept secure by hirers and must not be circulated to or shared with any other persons or bodies without the Club's prior written permission.

Accessing and sharing the toilets

There are two toilets in the hall (male/female) which must be shared by users of the hall and field.  If the hall and the field are being used by different groups, users of the field may access the toilets via the door at the back of the hall in order to not interfere with users of the hall.  If the hall is not being hired, users of the field may access the hall to access the toilets.


There are spare toilet rolls etc in the cupboard in the main hall (next to the hallway to the toilets).  If supplies are low, please notify us by emailing vice.president@loganhockey.au.

Sharing the lawn in front of the hall

The lawn in front of the hall is both a recreational area and an access route to the field.  It must be shared by users of the hall and field for these purposes.  Hirers must make their own assessment of any practical difficulties or risks associated with shared use.  For instance, if an animal training group is using the field and a play group with young children is using the hall, care will need to be taken to ensure young children will not be injured by interacting with animals.

Similarly, if a function or gathering is being undertaken in the hall, users should be aware that vehicles, equipment and animals may be passing through the lawn to access the field.

The access route through the lawn is not fenced or otherwise separated from the recreational area in front of the hall.  If users wish to erect temporary fencing, they may do so at their own cost provided permission is obtained from the Club first.

Do I need to clean the hall after using it?

Yes, we ask all hirers to clean the kitchen (including any utensils, bowls, plates, pots and pans, and other things) when they are finished with it.  We also ask hirers to:

  • sweep the floors;
  • place all rubbish in the bins provided;
  • wipe down tables;
  • clear the whiteboard;
  • remove any sticky tape / blue tack used on the walls;
  • clean up any spills;
  • pack up the chairs;
  • return the tables to the cupboard; and 
  • generally leave the premises in good condition ready for the next user.

The Club provides basic cleaning products and equipment in the kitchen and hall cupboard for hirers to use.  There are also spare plastic rubbish bags for the bins in the kitchen.  If any supplies are low, please notify us by emailing vice.president@loganhockey.au.

There is a public dump bin located at the end of Soccer Road behind the gates where rubbish bags may be taken.

The hall is cleaned regularly by Club staff/contractors, but not necessarily between every hire or use.  Therefore, any mess that a hirer leaves at the premises is likely to be encountered by the next user of the facilities unless it is cleaned up.

Do I need to clean the field after using it?

The Club mows the field and lawn regularly.  We simply ask that hirers pick up all rubbish that they leave or sight on the field and place it in the bins provided before departing the premises.

Can we pay for a cleaner?

Hirers that do not wish to take responsibility for their own cleaning of the premises at the end of the hire period may employ their own contract cleaner to clean the hall after use but must first obtain the written approval of the Club to do so.  The cleaner must be properly registered as a business in Queensland and must carry their own public liability insurance.  The cleaner may only attend to perform the clean during the hire period; a separate time will not be provided for the cleaner to perform the clean.


The Club does not provide cleaners for hirers.  Please refer to FAQ "Do I need to clean the hall after using it?" and "Do I need to clean the field after using it?" regarding hirers' responsibility to clean up at the end of their hire period.

Is there power on the field?

No.  There are power points in the hall but not outside on the field.  If power is required on the field, an extension cord will need to be used from the points in the hall.  If the hall is being used by another group, you will need the group's permission and to ensure the cord does not interfere with their activities in the hall or on the lawn.

If you are unable to run an extension lead from the hall to provide power on the field, you may need to acquire a stand-alone generator.

Please contact vice.president@loganhockey.au if you require access to power on the field so that we can check the hall booking schedule and see what can be done to accommodate your needs.

How many access points are there to the field?

There is only 1 access point to the field.  The pedestrian and vehicular access point to the field is via the carpark on Soccer Drive and through the lawn in front of the hall.  The field is otherwise fenced and does not connect to any roads, tracks or pathways.  If the hall and lawn is being used by another group, access through the lawn to the field must be shared with that group.

Can I take animals onto the grounds?

Our facility hire terms and conditions do not permit animals on the premises unless they are guidance/assistance/support animals (e.g. guide dogs and anxiety/relief dogs) or animals in animal training/activity groups under the supervision of approved trainers.

Where approved animals are brought onto the premises, the hirer is at all times responsible for each animal's welfare (i.e. providing shade, food, water and attention), behavior (i.e. controlling the animal's noise, aggression and anxiety) and any mess created (e.g. picking up all dog poo).

If an animal causes damage to any structures, the hirer is responsible for the repair of the damage or the replacement of the structure (where repair is not possible).

If an animal injures another person or animal, the hirer is responsible for all medical and other costs and any compensation payable in connection with that injury.  Where a fine or penalty is payable (e.g. if an animal kills any native species), the hirer is responsible for that fine and penalty.

The hirer must ensure that the hirer is appropriately insured for all loss and damage to property or personal injury caused by any animals brought onto the premises by the hirer or their guests.

In special cases, the Club may provide dispensation from the requirement that only guidance/assistance/support animals and animals in animal training groups are permitted on the premises.  To seek approval, please contact vice.president@loganhockey.au.

Who do I contact if there is a problem?

Please contact vice.president@loganhockey.au if you encounter any problems or issues with the premises, other users, neighbours or related matters.

How do I report lost or stolen property?

Please report all lost or stolen property to vice.president@loganhockey.au so that we can discuss with you how to make the appropriate enquiries and report to you when items are returned to or recovered by the Club.

How do I report damage or incidents on the premises?

If you witness an emergency on the premises, call Triple Zero "000" immediately.

If you see a crime happening, a life is threatened or an offender is still in the area, call Triple Zero "000" immediately.

If a crime has happened TO you, file a police report via Police Link (https://www.police.qld.gov.au/) or call 131444.

If you have information about a crime or criminals on the premises to report anonymously, contact Crime Stoppers Queensland on 1800 333 000 or go to www.crimestoppersqld.com.au.

After you have taken these steps, when it is safe to do so, please also report all damage and incidents to vice.president@loganhockey.au.  Please include full details of the incidents and any photos and videos with your report.  Please also tell us if Police, Crime Stoppers or Emergency Services have been notified.  We will then contact you to discuss the circumstances and other appropriate actions to take.

What's in the kitchen?

There is a refrigerator (which has a freezer), microwave, sink (cold water only), hot water dispenser, kettle and basic utensils (although sometimes utensils are taken and not returned, so if you discover low utensil supplies then this will be the reason).  No sharp knives are provided.

The kitchen does NOT have an oven, stove / cooktop, dishwasher, toaster, sandwich grill, or other appliances.

The kitchen has benches and cupboards.  There are cleaning products, wipes and similar items in the cupboards. A bin is provided for all rubbish.

What about first aid and emergencies?

The hirer is responsible for providing their own first aid supplies and equipment and for ensuring the safety and care of all of their staff and guests.  The hirer should prepare and have their own emergency management plan, appropriate to their permitted activities on the premises, to implement should an emergency arise.

The hirer is responsible for bringing their own first aid kit to the premises.  The first aid kit should be fully stocked with any and all items required to attend to any emergencies anticipated in the emergency management plan.

A defibrillator is fitted to the wall inside the hall next to the door that opens onto the veranda and out to the lawn.

There is a general purpose fire extinguisher next to the door at the rear of the hall outside the toilets.  No fire blanket is provided (as there are no cooktops in the kitchen).

Hirers must follow all fire regulations stipulated by law or mandated by Council or the Club.

After you have taken any and all steps in an emergency, when it is safe to do so, please also report the occurrence of any serious injuries or emergencies to vice.president@loganhockey.au.  Please include full details of the incidents and any photos and videos with your report.  Please also tell us if Police, Crime Stoppers or Emergency Services have been notified.  We will then contact you to discuss the circumstances and any other appropriate actions to take.

What can I do if there's bad weather?

The hirer is responsible for risks of inclement weather affecting their event or persons attending the premises during the hire period. The hirer should have an inclement weather management plan, so that their event can be adjusted or called off if inclement weather arises.  Inclement weather may include thunder and lightning storms, hail / heavy rain, flooding, extreme heat or cold, strong wind, and low air quality / pollution.

If you are caught out by bad weather whilst using the premises, seek cover in the hall or under the verandah.  Alternatively, seek cover in a car or leave the premises.  In an emergency situation, following the steps set out under FAQ "What about first aid and emergencies?"

If a hire period is cancelled due to inclement weather, the hire fees will remain due and payable unless special circumstances or conditions warrant a refund.  Please contact the Club on vice.president@loganhockey.au if you wish to make an application for refund of hire fees due to inclement weather.

Are there any areas or facilities that I cannot use?

There is a padlocked cupboard in the hall and locked cupboards in the kitchen which contain Club supplies. The shed at the back of the hall is also locked and contains Club equipment and property.  Hirers are not permitted to access these areas but may access all other areas hired by them during the period of hire for their permitted use.

What is included in the hire fees and charges?

The hire fees and charges cover use of the hired area in the premises for the permitted use during the hire period.  They do not include cleaning charges, maintenance and repair charges, loss and damage, the cost of the hirer's public liability insurance, obtaining special permits (e.g. to conduct regulated activities on the site), provision of equipment, security costs, or other expenses and outlays.  These expenses and outlays are the hirer's responsibility.  Please see our hire terms and conditions for more details.

Can I affix signs, decorations and other things to the walls and structures?

No.  However, exceptions may be made for non-permanent items affixed using sticky tape, blue tac, string/rope or similar materials provided all such items and materials are fully removed (incuding any sticky residue which may remain after peeling off sticky tape and blue tac) when the hirer cleans the site at the end of the hire period.

Any damage to structures caused by use of tape, blue tac, etc is the hirer's responsibility and the hirer will be liable for cost of repairs.

We recommend portable stand-alone signs rather than using banners and posters, as these do not require affixing to any structures and may be easily removed at the end of the hire period.

Please contact vice.president@loganhockey.au to seek the Club's permission to affix any signs, decorations or other things to the walls and structures.

Do I need insurance to hire the facilities?

Yes.  You need public liability insurance from a reputable insurer with cover of at least $20 million per claim per event.  All hirers must provide the club with a valid certificate of currency covering the period of hire prior to the commencement of the hire period.  Access to the club's facilities will not be provided unless a valid certificate of currency of public liability insurance is provided.

Is the site accessible by disabled persons (wheelchairs etc)?

All of the club's facilities are on ground level.  The car park in front of the club is earthen/grass and there are no sealed paths to/from the field.  Persons using wheelchairs, crutches or other aides can access the hall and field if they can traverse these access points.  Otherwise, access will be limited/restricted.

Note that in inclement weather, the ground may be muddy, slippery or otherwise difficult to negotiate.  There may also be trip hazards at any time due to twigs, leaves, seeds/nuts, uneven ground, grass/soil clumps etc on the site.

It is the hirer's responsibility to determine whether a person can/should access the club when their mobility is limited/restricted or aides are required.  The club takes no responsibility and will not be liable for any accidents arising because of a decision made by a person to attempt access when the grounds/conditions are uncertain. The club does not warrant or represent that access will be available to all persons under any conditions or at any time.

Can I drive a car and trailer onto the field?

Yes, but only with the club's permission and subject always to the club's conditions and directions.  Only light passenger vehicles will be allowed.  Heavy vehicles will not be allowed (as they will damage the field and surface).  Neither the lawn nor the field may be used as a car park.  Only one vehicle and trailer will be permitted on the field at any time.

Where permitted, hirers take their vehicles and trailers onto the lawn and field at their own risk and must avoid any potential dangers or harm to individuals or pedestrians at all times.  The club takes no responsibility and will not be liable for loss or damage or any person or property caused by or involving a vehicle or trailer on or near the lawn or field.

Can I erect a jumping castle, slide or play equipment on the field or lawn?

Yes, provided you have first obtained written permission from the club to do so.  Any such equipment used on the field or lawn is used at the hirer's sole risk and expense.  The hirer is responsible for all decisions regarding the location and securing of such equipment on the club's premises, as well as for supervising and ensuring the safety of all persons using and enjoying such equipment on the club's premises.

The hirer must only use properly licensed and insured contractors for the supply, setup and packing up of play equipment on the club's premises.  The club reserves the right to deny permission to a hirer to use any particular supplier or to use and supply their own equipment on the site.

Any and all hirer or supplier equipment used on site must be in good, safe and workable condition.  It must be used strictly in accordance with the manufacturer's instructions and all applicable Australian standards (including in relation to safety and hazard avoidance).

The hirer must comply with any directions given by the club in relation to the placement, use and supervision of any equipment on site.  If the hirer is given a reasonable directed by the club not to use or to remove any particular equipment, the hirer must do so.

Can I host a party at the premises?

As a general rule, no.  The club may permit private parties to be held at the premises by exception (e.g. for club members), but even then only on strict conditions which may include the provision of a substantial security deposit (covering any loss or damage which may be caused), payment of professional cleaning costs, premium hire charges and curfew conditions.

As the club is in a residential area, there will always be noise restrictions on any night-time activities.  The club requires its hirers to be mindful and considerate of its neighbours and community at all times.

The club also notes that the site is not always suitable for particular parties and events.  The hall does not have full cooking facilities and the area around the hall can be dark at night.

How much noise can I make?

All hirers must strictly comply with the local council's noise restriction laws and regulations.  Hirers must always be mindful and considerate of the club's neighbours and community.  The premises is in a residential area.
